Completing notarizations online requires certain tools and now there's no guessing needed.





Remote Online Notarization or RON has become a common practice as it has eased the process of notarization. While RON in itself is a simple process, you need certain tools and technology to conduct it smoothly and efficiently. Here are some of the tools that will help you with RON.


1. Fast internet connection


The term remote online notarization clearly suggests that this type of notarization is conducted online through the internet. Therefore, a fast and reliable internet connection is one of the most basic requirements for RON. Having an erratic or slow internet connection can ultimately come in the way of RON.


2. Digital Notary Seal


During traditional or mobile notarization, the notary is required to use the notary seal while notarizing documents. In many states, the use of a notary seal is mandatory. It is somewhat similar for RON as the notary is required to get a digital notary seal for conducting online notarization. Your RON service provider will present you with a list of vendors from whom you purchase your digital notary seal. Make sure that the seal you purchase is X.509 compliant. The signing of documents with a digital notary seal is a must when it comes to RON.


3. Audio/Video Communication Technology


Your RON service provider will provide you with the necessary audio/video communication technology to carry out the notarization of documents. Make sure that the technology provided by the service provider is in compliance with your state’s law.


The audio/video communication technology should have at least the following features:


· Feature to record and archive sessions with clients.

· Sufficient audio and video clarity so that the notary is able to properly communicate with his clients.

· Protection against unauthorized access to live sessions with clients.


4. Identity Proofing Tool


In traditional notarization, the notary verifies the identity of the signer and confirms his/her credentials. It is easy to conduct verification as the notary and the signer are able to physically see each other. However, identity verification gets challenging in RON as the notary does not meet the signer. Due to such challenges, identity verification for RON is much more rigorous.


Every signer has to go through the following three steps:

· Identity verification of the signer

· Credential analysis of the signer

· Presentation of the identity of the signer through remote means


5. E-notary Journal


Just like traditional notarization, every notary has to maintain an e-notary journal for all remote notarial acts. Your RON service provider will provide you with a secure electronic journal that complies with your state’s remote notary laws.


6. Backup and Storage


Most of the states require you to keep a backup of electronic journal entries and audio/video session recordings. Therefore, you need a system in place to comply with this rule. You will have to keep the backup for anywhere between 5-10 years depending on your state.
